Recruitment Privacy Notice

This Recruitment Privacy Notice sets out how the companies integrated in ISRG (CIF: B54544028) collects and processes personal data. It applies to job applicants, prospective employees, contractors and workers.

The Company is committed to being transparent in the processing of personal data, and to meeting its data protection obligations.

Where does the Company collect your data from?

We collect your data as part of the recruitment process, when you, or someone authorized by you, provide us with your personal data. This includes the following sources:

  • You – when you apply for a vacancy that we place on our website
  • A recruitment agency – when you have registered with or authorized a recruitment agency to provide us with your resume or profile in order to apply for a role with us
  • Social media – where you have made information available on a social media site (such as LinkedIn)
  • Referees – individuals who you tell us can provide references to us to help us determine your suitability for a role

What information do we collect, and what is it used for?

The Company collects a wide range of information about you, in order to carry out its recruitment process. The specific information is set out in Schedule 1.

If an offer of employment is made to you, and you accept it, your recruitment data is included within our HR systems and will be processed in accordance with the relevant employee privacy notice.

How do we safeguard your information?

At all times, the information we process is always kept secure. This includes data processed using our cloud-based applicant tracking system (ATS). The data contained in the ATS is encrypted and only ever accessible to named individuals within the HR and recruitment teams. We also hold information within our internal IT systems.

All our staff are trained in handling personal data, and we have enacted appropriate policies and procedures to ensure that this is regularly monitored.

Who do we share your data with?

We only share your personal information for the purpose of facilitating the recruitment process. To achieve this, 

We may share your personal information with other ISRG group entities where necessary for HR, recruitment, administrative and support services.

Some of the third parties that we share your data with include referees and those service providers within the framework of the recruitment process. We strive to share information only with those organizations who have also put in place similar safeguards as us, to ensure that your data is kept secure.

Sometimes these third parties will hold your data outside of the local jurisdiction, and in such cases, we strive to ensure that we have appropriate safeguards (including contractual obligations with those third parties) in place.

How long do we hold your data for?

If your application is unsuccessful, we hold your data for a period of 12 months. This is for the following reasons:

  • In case the offer to a successful candidate falls through, and we want to make an appointment from the existing applications
  • In case a related vacancy arises, and we would like you to consider applying for it
  • In case we need to defend any legal claims

As this 12 month period is approached, we will contact you to ask you for your consent in allowing us to retain your details for a 12 month period, for example if a similar vacancy was to arise.

If your application is successful, your data is held in line with our employee privacy notice.



What are your rights?

The GDPR allows you to

  • Access your personal data
  • Object to our purposes for processing your data
  • Require us to correct any inaccurate data
  • Request us to stop processing your data
  • Delete your data
  • Portability of your data
